The Role:
For our office in Medellin (Colombia) we are looking for a motivated, dynamic Administrative Assistant LATAM (m/f/d) to support the administration and office management activities in our newly created branch in Latin America. This role will include supporting the branch office in Colombia and in Uruguay. It is a great opportunity to join the team of international engineers and play a significant role in the back-office activities to support the expansion of the railway business in the region.
Your tasks
- Complete a broad variety of administrative tasks including completing expense reports; composing and preparing correspondence, presentations, and reports plus additional administrative tasks assigned by the Branch Manager
- Communicate directly with internal and external stakeholders and successfully support marketing initiatives and/or events
- Research, prioritize, and follow up on incoming issues and concerns addressed by the regional director. Determining the appropriate course of action, referral, or response.
- Provide a bridge for smooth communication between the regional director and internal departments; demonstrating leadership to maintain credibility, trust and support with senior management staff.
- Work closely and effectively with the employees to keep them well informed of upcoming commitments and responsibilities, following up appropriately.
- Complete successfully critical aspects of deliverables with a hands-on approach, including drafting personal correspondence, presentations
- Prioritize conflicting needs; handle matters expeditiously, proactively, and following through on projects to successful completion, often with deadline pressures
- Deal with other admin activities delegated by the branch managers
- Cooperate closely with various departments in Germany including procurement, travel reimbursement any many others
Requirements:
- Strong work tenure: three to five years of experience supporting as an Administrative Assistant or Office Manager, preferably in a fast-paced and international environment
- Bachelor's degree or undergraduate degree (técnico) in engineering, alternatively business administration
- Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
- Very strong interpersonal skills and the ability to build relationships with internal and external stakeholders
- Previous experience in working for LATAM region
- Fluency in Spanish and English (written and oral plus business correspondence - at least B2 Level), German would be an asset
- Demonstrates proactive approaches to problem-solving with strong decision-making capability

- Highly resourceful team player, with the ability to also be extremely effective independently
- Proven ability to handle confidential information with discretion, be adaptable to various competing demands and demonstrate the highest level of customer/client service and response

The position is located in Medellín, Colombia however the positions will cover both branches in Uruguay (remotely) and Colombia.
